Who we are

Adventures in Pharma Ltd (“we,” “us,” “our”) is a company registered in England and Wales with company number 16343005. Our registered office is c/o Bright Beany Accounting, Cumberland House, 35 Park Row, Nottingham, NG1 6EE.

We organise the Adventures in Pharma event series. We are the data controller for the personal data we process about our delegates, speakers, sponsors, and website visitors.

Adventures in Pharma is produced in partnership with Camino Communications Ltd, the Founder of the event series. Where data is shared with Camino, that sharing is described in section 3 below.

1. What data we collect

Delegates

When you register to attend an Adventures in Pharma event, we collect:

When you speak at an Adventures in Pharma event, we collect:
  • Your name, job title, company, and contact details
  • Your biography, professional photo, and any session materials you provide
  • Any travel, accommodation, or accessibility information needed to support your attendance
Sponsors

When your organisation sponsors an Adventures in Pharma event, we collect business contact details for the individuals representing your organisation, alongside the contractual and commercial information needed to deliver the sponsorship.
Website visitors

When you visit our website at adventuresinpharma.com, we collect limited technical data automatically (such as IP address, browser type, and pages visited) through cookies and analytics. See section 8 for more on cookies.
Event photography and video

We photograph and film our events. Attendees, speakers, and sponsors may appear in this content. We use it to promote future events and to enable Camino Communications to recognise its role as Founder. We let you know at the event that filming and photography are taking place and give you the option to opt out.

2. Why we use your data and our legal basis

We process your personal data for the following purposes and on the following legal bases under the UK GDPR:
  • To deliver our events. This includes processing your registration, managing the venue, communicating event logistics, providing materials, and running the event itself. Legal basis: performance of a contract with you, or our legitimate interest in delivering the event.
  • To communicate with you about future Adventures in Pharma events. If you have attended, spoken at, or sponsored a previous event, we may contact you about future Adventures in Pharma events. Legal basis: our legitimate interest in promoting the event series to a relevant audience. You can opt out at any time.
  • To share your details with Camino Communications. Where you have consented at the point of registration, we share your contact details with Camino, the Founder of Adventures in Pharma, so that Camino may contact you about its medical communications services. Legal basis: your consent. You can withdraw your consent at any time, as described in section 4.
  • To improve our events and website. We analyse event feedback and website usage to make future events better. Legal basis: our legitimate interest in improving our services.
  • To meet our legal and accounting obligations. We hold records as required by tax, accounting, and other applicable law. Legal basis: our legal obligations.

3. Who we share your data with

We share your personal data only with the recipients described below.

Camino Communications Ltd

Camino is the Founder of Adventures in Pharma. Adventures and Camino are separate companies, with their own separate data controller responsibilities.

We share data with Camino in two distinct ways:
  • Operational support. Camino provides services to Adventures in Pharma Ltd (including design, content, and event delivery support) under a written services agreement. In doing so, Camino processes some delegate, speaker, and sponsor data on our behalf, acting as our processor.
  • Marketing contact, where you have consented. If you have ticked the consent box at registration confirming you are willing to be contacted by Camino, we share your business contact details with Camino. Camino then acts as a separate controller of your data for its own marketing purposes. Camino’s privacy notice is available at caminocomms.com/privacy-policy.

Service providers

  • Event registration and ticketing
  • Email marketing and communications
  • Analytics and audience insight
  • Event production, including venue, AV, photography and videography suppliers
  • Accountancy and professional advisers
Each provider is bound by appropriate data protection terms and processes your data only on our instructions.

We may disclose your personal data where required by law, court order, or to defend our legal rights.

4. Your rights

Under UK data protection law, you have the right to:
  • Be informed about how your personal data is used (this notice)
  • Access the personal data we hold about you
  • Have inaccurate or incomplete data corrected
  • Have your data erased in certain circumstances
  • Restrict or object to our processing
  • Receive your data in a portable format
  • Withdraw consent where we rely on it
  • Complain to the Information Commissioner’s Office (ico.org.uk) if you believe we have not handled your data properly

5. How long we keep your data

We keep personal data only for as long as we need it:
  • Delegate, speaker, and sponsor contact data: retained for up to three years after your last interaction with us, to support communications about future events, unless you withdraw your consent earlier
  • Financial and contractual records: retained for at least six years to meet UK tax and accounting requirements
  • Event photography and video: retained indefinitely as part of the historical record of the event series, subject to your right to request removal of images in which you are identifiable
  • Website analytics data: retained for up to 26 months

6. International transfers

Some of our service providers are based outside the UK, including in the United States and the European Economic Area. Where personal data is transferred outside the UK, we rely on appropriate safeguards, including the UK Addendum to the EU Standard Contractual Clauses and (where available) UK adequacy regulations covering the relevant country.

7. How we keep your data safe

We use appropriate technical and organisational measures to keep personal data secure, including access controls, encryption in transit, and the use of reputable service providers that follow recognised security standards. No internet transmission is ever entirely secure, so we cannot guarantee absolute security, but we take this responsibility seriously.

8. Cookies

Our website uses cookies and similar technologies for essential site functionality and to help us understand how visitors use the site. This includes a small number of analytics cookies that record anonymised information about pages visited and time spent on the site. We do not use cookies for advertising or for tracking you across other websites.

9. Children

Our events and website are intended for working professionals. We do not knowingly collect personal data from anyone under the age of 18. If you believe we have collected data about a child, please contact us and we will delete it.

We may update this privacy notice from time to time. The current version will always be available on our website, and the “Last updated” date at the top will reflect the date of the most recent change. Where the changes are material, we will let you know directly where reasonably practicable.
